Job Title: Program Manager
Hours: 40 Hours Week
Classification: Exempt
Salary: Commensurate with experience
Available: January 8, 2018

POSITION SUMMARY
The Program Manager coordinates the support services offered by SVCreates to small and midsized arts and cultural organizations in Santa Clara County. The position is responsible for the implementation of SVCreates’ primary grantmaking and organizational capacity building activities, and for stewarding SVCreates’ portfolio of regular grantees. Annual programs include: Local Arts Grants, Impact Grants, Artist Laureates, Poet Laureate and the Arts Accelerator series of workshops and conference. Under the supervision of SVCreates’ Associate Director, the Program Manager will plan and manage the annual calendar of grant and training activities. The Program Manager serves as the primary point person for all communications regarding policies, processes, and instructions to grantees/applicants, panelists, service providers, and partners.

SPECIFIC DUTIES
Grant Programs:
  • Develop, in collaboration with SVC Associate Director, guidelines and procedures for grant making
  • Recruit and coordinate all grants program panels
  • Process and track all grant applications and grant reports (including related database entry)
  • Promote grant opportunities to local arts ecosystem
  • Work with SVCreates’ website manager and communications team to use online platforms to provide grant information and receive applications
  • Communicate guidelines to current and future grantees
  • Respond to inquiries from grant applicants and provide assistance during application process
  • Manage grantmaking systems including relationships with service providers (e.g. DataArts, Common Grant Application and others)
  • Manage and execute all communications with grantees and grant applicants including notifications and reporting requirements
  • Keep up-to-date on current trends and practices in national arts grantmaking by participating in national and local associations (e.g. GIA, CACSLP, GMN etc.) and reading journals.
Arts Accelerator:
  • Develop, in collaboration with SVC Associate Director, annual calendar of capacity building activities (there are typically 12 per year, e.g. conferences, workshops, coaching etc.)
  • Coordinate each activity and manage budget for each activity, including securing venue, supporting speakers, ordering food, finalizing agenda
  • Manage promotion and registration for each activity
  • Manage event on day of including room set up, sign-ins, collateral distribution, speaker support; supervise other event staff and volunteers
  • Provide event follow up to attendees including evaluation forms
  • Implement annual online survey of arts ecosystem regarding capacity building activities
  • Coordinate coaching requests from grantees.
    QUALIFICATIONS
  • Grants administration experience
  • Events management experience
  • Strong ability to communicate effectively both orally and in writing with diverse audiences
  • Knowledge of and/or training in arts administration, public/business administration, literature, design, art history, fine arts, or other fields related to arts
  • Computer experience with skills in Microsoft Excel, Outlook, Google Docs and database systems
  • Superior organizational skills with attention to accuracy, detail and follow-through
  • Excellent understanding of deadlines and ability to prioritize tasks
  • Understanding and adhesion to organizational confidentiality requirements
  • Demonstrated time management skills
  • Ability to work independently and with others
  • Ability to be open, flexible, friendly and a team player
  • Familiarity with South Bay Area arts community is a plus
